A perfectly valid company can be blocked by an expired passport copy. Track freshness, not just possession.
Setup files are assembled from documents that age at different rates. Some expire on a stated date. Others go stale after a period no document itself declares — most providers will not accept a proof of address beyond a set recency window, however genuine it is.
The failure mode is specific and common: a process pauses for an unrelated reason, and by the time it resumes, part of the file has gone out of date. Because banking, licensing, and registry steps often run in sequence, one stale document can send you back to the start of a queue you had nearly cleared.
Track each document with its issue date, its expiry or freshness window, the jurisdiction relying on it, and a renewal lead time set well before the date itself. Certifications age too — a notarisation or apostille supports one specific underlying document, so reissuing the document generally means reissuing its certification.

- 07Notarisations and apostillesTied to one underlying document; reissue the document and the certification follows.
- 08Lease or premises agreementsWhere an address supports a licence, a visa route, or a substance position.
- 09Insurance policiesWhere a licence or a contract makes cover a condition of continuing to operate.
